Refund & Cancellation Policy
Last updated: 19 October 2026
1.What you are paying for
Quiet Review is priced by a written quote for your business — by the type of business and the number of review links — which you accept in your dashboard, choosing monthly or yearly billing. A price can also be agreed with us in writing, for example by email or WhatsApp, and that counts as an accepted quote throughout this policy. You are then invoiced for each period and pay by EFT, using the invoice number as the reference. There is no setup fee and no minimum period beyond the one you have paid for. We never ask for card details and never debit your account: you pay each invoice yourself by EFT.
If a partner introduced you. Some businesses are introduced to us by independent partners. Everything in this policy applies the same way: your cooling-off right, notice period and refunds are between you and Quiet Review, and refunds are paid to you, never to the partner. A partner can’t promise you a refund, a discount or different terms. We can only refund money paid to Quiet Review’s bank account, so never pay a partner or anyone else on our behalf.
2.Your free trial
New accounts are created with the review link switched off until we activate it, and no payment details are required.
Nothing is payable until you accept a quote or agree a price with us in writing. We may give a free trial at our discretion; if it ends before you accept one, your review link pauses until you do and we switch it back on — your data is kept. There is one free trial per business and per Google listing.
3.Your 14-day cooling-off right
You may cancel within 14 days of accepting a quote, without giving a reason, and we refund everything you have paid under it.
If the quote was for adding locations or review links, cancelling within those 14 days cancels only the addition: we take the added locations and links out of service, refund what you paid for them, and your earlier price applies again from your next invoice.
This applies however you signed up. Where we approached you directly, you also have the right under section 16 of the Consumer Protection Act; this policy gives you 14 days either way.
Email billing@quietreview.com within 14 days of accepting the quote. A cancellation in the cooling-off period takes effect straight away; the 30-day notice period does not apply. Refunds are made by EFT, to a bank account you give us, within 15 business days.
4.Cancelling at any other time
Email billing@quietreview.com to cancel. Cancellation takes effect 30 days after we receive your email (the notice period). Your review link works until then.
Monthly billing. Each month started during the notice period is payable at your monthly price. We do not refund the rest of the month in which your cancellation takes effect.
Yearly billing. If you cancel before the end of a year you have paid for, the months of that year you used — counting every month started, the notice period included — are charged at the normal monthly price in your quote, and we refund the rest of what you paid, if anything is left.
Refund = A − (M × P)
- A = the amount you paid for the year
- P = the monthly price in your quote
- M = the months of that year you used, counting every month started, the notice period included
If the result is zero or less, there is no refund.
We process refunds by hand, by EFT to a bank account you give us, within 15 business days. For an Enterprise group, these rules apply to the group as a whole.
5.Late payment
If an invoice is not paid by the due date shown on it:
- We email you, and your dashboard shows a notice
- Your review link stays active for a further 7 days
- After that it pauses until the payment is recorded
Your data is not deleted — when we record your payment, your review link comes back on and everything is still there. An unpaid invoice for review cards or other items never pauses your review link.
6.Refunds outside the cooling-off period
We refund in full, without being asked twice, where:
- You paid an invoice twice, or paid more than it was for
- We invoiced you in error
We may also refund at our discretion where:
- A fault on our side prevented you from using the Service for a meaningful period and we could not resolve it
Email billing@quietreview.com. Granting a discretionary refund once does not oblige us to do so again.
7.Price changes
The price in your accepted quote applies until we change it. We will give at least 30 days’ written notice before a change to your price applies to you, and you may cancel before it takes effect. If you cancel because of a price change, your old price applies until your cancellation takes effect. A change never applies part-way through a period you have already paid for.
8.Review cards and other items
Review cards, stands and other items are invoiced separately, on the same payment terms. Items printed with your review link are made for your business specifically and cannot be resold, so we refund them only if they are faulty or not what you ordered; the Consumer Protection Act’s rules on defective goods apply. Tell us as soon as you notice the problem.
9.Your statutory rights
Nothing in this policy limits your rights under the Consumer Protection Act or other South African law. See also our Terms of Service.
